How the math works

Gross monthly savings = tickets × deflection rate × cost per ticket. Net subtracts the chatbot's monthly running cost. Payback is build cost divided by net monthly savings. 3-year value is net monthly savings × 36 minus the one-time build cost.

Reasonable defaults

  • Cost per ticket: $8-$25. Agent time × loaded wage + tooling. Mid-market support orgs land near $12.
  • Deflection rate: 40-70%. Well-scoped bots with good intent design and human handoff hit ~60% reliably. Below 40% means too narrow a scope or weak intent training.
  • Build cost: $2,400. Our fixed-price Chatbot package, 20 intents, 2 channels, human handoff, analytics.
  • Monthly run cost: ~$200. Hosting + LLM inference + light monitoring. Higher if you run on premium models or process voice.

What's NOT counted here

  • CSAT impact, bots can increase or decrease it depending on quality. We've seen both.
  • Agent morale impact, automating repetitive tickets usually helps retention. Not in the model, but real.
  • Brand risk from a bad bot, a hallucinating support bot is worse than no bot. Eval suite is non-optional.
